Commercial Agency and Property Management Assistant

Responsible to: Head of Commercial Agency
Department: Commercial Agency / Property Management

GENERAL PURPOSE OF THE JOB:

The role will assist the commercial agency department in providing a quality service to clients and applicants in respect of sales and lettings of commercial properties. This will involve dealing with commercial property enquiries, including taking offers and conducting viewings and keeping an accurate record of activity on the property database.

In addition the role will provide administrative support to the commercial property management team. This involves, ensuring the Landlords obligations are fulfilled by dealing with tenant's requests for repairs, obtaining quotes and instructing contractors. Additionally, this role involves ensuring the tenants comply with their lease obligations, undertaking property inspections, recharging utility charges and assisting the Senior Surveyor to administer service charges.

The role will aid the Commercial Department to grow both the agency and property management sectors and ensure accurate records of activity are maintained on computer software.

MAIN DUTIES / KEY RESPONSIBILITIES:

General

  • Uses electronic database (i.e. WinMan and Vebra) for maintaining records of available commercial properties and managed commercial properties, recording all actions that have taken place throughout the tenancy
  • Take telephone calls on enquiries for available commercial properties
  • Conduct viewings on available properties and receive offers, under the guidance of senior surveyor
  • Receive calls from tenants and landlords relating to managed property matters
  • Produces manual files for each new property/tenancy and archive old ones
  • Issue invoices to commercial tenants for rents, service charges and insurance under guidance of senior surveyor
  • Assist in chasing commercial arrears of rent and other charges
  • Deal with enquiries for repairs, instruct appropriate contractors, check works are complete and arrange payment of the invoice
  • Assist senior surveyor in administering service charges
  • Insurance – obtain quotations for the renewal of annual insurance on all commercial properties, ensuring that tenders are issued at least every three years

General

May be required to carry out other duties as reasonably required and directed. Specific details/processes for the above roles are included on a separate sheet.

This role will assist in the achievement of the objective of the Commercial Property Department to provide an effective service to clients for the sale or letting and management of their properties assisting toward the generation of fee income and furthering the reputation of the department/business.

KNOWLEDGE AND SKILLS REQUIRED:

  • Ability to work on own initiative with limited supervision
  • Excellent planning and organisational skills
  • Must be fully computer literate, able to operate office systems to a high level of competency (although department specific software training will be given)
  • Ability to work as a member of a team and act upon instructions
  • Sound numerical skills
  • Ability to apply common sense understanding to carry out written and or verbal instructions
  • Strong interpersonal skills with ability to work at all levels and provide excellent standards of customer service
  • Ability to work to tight deadlines
  • Full and clean driving licence plus access to vehicle for business use.
